Worked closely with an HR team to improve and streamline their hiring and employee onboarding operations by connecting the key platforms they relied on for recruitment, record management, payroll preparation, and internal communication. Their existing process involved a lot of manual data transfer between tools like Greenhouse, BambooHR, Gusto, Google Drive, and Slack, which often led to delays, duplicated entries, and gaps in communication between teams. I started by reviewing their full hiring and onboarding workflow to understand how candidate information moved from application to employee setup. From there, I identified inefficiencies such as repeated manual input, lack of real-time updates, and disconnected systems that slowed down onboarding and increased the risk of errors. Using Zapier, I designed and implemented a structured automation system that connected Greenhouse with BambooHR, ensuring that once a candidate was marked as hired, their information was automatically transferred and organized within the HR system. I also built workflows to trigger follow-up actions, including document creation and storage in Google Drive, internal notifications via Slack, and preparation steps for payroll processing in Gusto. In addition, I organized the onboarding flow to ensure each stage was clearly defined and automated where possible, reducing the need for manual intervention while maintaining accuracy and control. The setup was designed to be practical, scalable, and easy for the HR team to manage independently. As a result, the company experienced a faster, more reliable onboarding process, improved team coordination, and a significant reduction in administrative workload. This allowed the HR team to focus more on employee experience and strategic tasks rather than repetitive operational work.
