Client: Jim Schmitz Service: Notion system for Household Construction (Pole Shed, Deck, Home design) Tools used: Notion Project Overview Lifestyle Lumber needed a rebuilt Notion operating system to manage construction jobs, materials coordination, subcontractor communication, customer selections, tasks, and internal visibility in one organized workspace. The goal was to simplify their previous Notion setup, reduce scattered task tracking, and create a system that could support daily work for sales reps, project managers, leadership, and field coordination. The Challenge - Lifestyle Lumber’s original Notion setup had become too fragmented and difficult for the team to use consistently. - They were working with multiple separate task databases for general tasks, pre-construction, materials, and construction. This meant users had to check different places just to understand what was happening on one job. - The previous system also relied heavily on milestone-based formulas, which made the workspace fragile. If one milestone date changed, it could trigger a chain of date changes across many related tasks. This created confusion and made the system harder to maintain. - In short, the challenge was to turn a complex, formula-heavy, fragmented workspace into a simpler operating system that the team could actually use every day. The solution - Jobs database to manage every project in one place - Unified Tasks database for pre-construction, materials, construction, closeout, and general tasks - Selections database to track customer decisions and specification details - Contacts database for customers, vendors, subcontractors, and suppliers - Job page templates for Pole Shed, Home, and Deck projects - Workflow pack buttons for Pre-Construction, Materials, Construction - Construction stage tracking for subcontractor coordination - Communication log templates inside construction tasks - My Work dashboard for individual team members

In 2024, I stepped into a full-time role working with Cathy Hennessy, a business owner I connected with on Facebook who needed strategic Notion support for both her personal productivity and business operations. Cathy approached me with a vision to build four Notion spaces — one to manage her personal life system and three dedicated to different facets of her business. Because she has ADHD and tends to forget tasks and commitments, we began with the foundation of her personal productivity framework. This included building a robust Notion dashboard with task management, habit tracking, reminders, calendar views, linked databases, and customizable templates designed to reduce overwhelm and centralize her workflows. With her personal system successfully implemented and well adopted, we then moved into the next phase: Notion for business operations, where the challenge shifted to combining CRM workflows, automation, integration with GoHighLevel, and scalable database architecture. This project is a custom Notion Client OS built to help service-based teams manage clients, projects, tasks, meetings, reports, resources, vendors, and quarterly planning from one organized workspace. The dashboard was designed as a clean operating system where daily work and long-term business goals can live together without confusion. The workspace includes a left-side navigation panel, quick-add buttons, quarterly plans, project tracker, task database, meeting notes, report overview, and key resources/files section. Each area was structured to make it easy to create new records, connect related information, and keep important work visible. The quarterly plans database helps the team map major goals by quarter, start date, end date, year, and progress. The projects section tracks active, completed, and on-hold projects with assignees, due dates, categories, vendors, progress, and sign-off status. The task area gives the team a simple way to manage current, overdue, and completed tasks while connecting them back to projects. Meeting notes provide a space to document discussions and decisions, while the report overview keeps quarterly reviews, monthly archives, reporting periods, report types, PDFs, and notes organized. The resources section stores key files such as onboarding packets, financial reports, and brand guidelines with storage links and access notes.
