Project Overview: Engineered and deployed an enterprise-grade, real-time voice AI calling pipeline designed to automate end-to-end client intake and appointment scheduling for a high-volume inbound booking system. By integrating Vapi AI with Twilio’s telecommunications infrastructure, the solution transformed how inbound customer calls are handled—moving from manual receptionist workflows to a fully automated, 24/7 conversational voice intelligence model. Technical Implementation & Architecture: • Telephony & Voice Engine: Configured Twilio SIP trunking and phone number provisioning, seamlessly linking live audio streams directly into Vapi AI for sub-second, low-latency speech recognition, natural language processing, and text-to-speech rendering. • Custom Webhook Bridge: Built a high-performance RESTful middleware layer using Node.js and Express to manage real-time bidirectionally payload execution during active calls. • Database & Calendar Synchronization: Implemented custom webhook endpoints connecting Vapi AI’s tool-calling capabilities directly to a PostgreSQL database and calendar API. The system dynamically queries real-time resource availability, validates user records, and secures bookings while the caller is on the line. • Error Handling & Fallbacks: Developed robust edge-case protocols, automated retry logic for API timeouts, and an intelligent call-transfer mechanism that routes complex queries to human operators with full context transcripts. Business Impact & Results: • Completely eliminated manual telephone intake overhead, allowing operations to scale seamlessly. • Reduced appointment booking response latency from minutes to real-time during live calls. • Maintained 99.9% system uptime while keeping voice latency under 800ms for natural human conversation flow.
